We collect the information needed to run your account and provide the service: your name, email address, profile and organisation details; membership and purchase records; saved resources; community activity; expert-support messages; and basic service events such as page views, searches and downloads.
When you use YIP Assistant, we store your question, response and source references in your account history for up to 90 days. Please do not include a name or other information that could identify a child or young person. The service does not need that information to help you.
When you complete a guided tool, we save the structured answers and resulting next step privately to your account. Guided tools are designed to work without names or other information that could identify a pupil.
We use account information to provide and secure the platform, manage membership and payments, deliver resources and support, moderate the professional community, answer enquiries and understand whether the service is working well.
We use the information because it is necessary to provide the service you ask for, to meet legal obligations such as accounting and fraud prevention, and for our legitimate interests in operating and improving a safe professional platform. Where consent is the appropriate basis, you can withdraw it at any time.
YIP Assistant starts with relevant YIP resources and shows the sources used. It may add clearly distinguished general knowledge or current web evidence. Questions are processed through selected model and research providers so a response can be prepared.
YIP Assistant supports professional thinking; it does not diagnose pupils, make decisions about provision or produce decisions with legal or similarly significant effects. Platform administrators can see privacy-safe usage totals and costs, not the content of members’ saved conversations.
Guided tools structure professional reflection around areas such as reasonable adjustments, attendance, pupil voice and transitions. They support thinking and record a suggested next step; they do not diagnose a pupil, determine legal duties or replace safeguarding and school procedures.
Completed guided-tool answers are available only through the account that created them. Platform administrators use aggregate completion events to understand which tools are useful and cannot read members’ saved responses through the platform.
We use Supabase for authentication, database and private file storage; Vercel for hosting and the YIP Assistant gateway; Stripe for secure payments; and selected model or web-research providers when YIP Assistant is used. These providers process information only for the services they supply to us and under their own security and data-protection commitments.
Some providers may process information outside the UK. Where this happens, we rely on recognised transfer safeguards and contractual protections. We do not sell personal information or use it for advertising profiles.
YIP Assistant history is automatically deleted after 90 days. Account, membership and purchase records are kept only while needed to provide the service and meet legal, accounting or security obligations. You can ask us to delete your account, subject to records we must retain by law.
We use essential cookies for sign-in and account security. We do not use advertising cookies. Security measures include encrypted connections, private storage, account-level database access rules, signed payment webhooks and time-limited links for protected downloads.
You can ask for access to, correction of or deletion of your personal information, object to or restrict some processing, or ask for a portable copy where the law provides these rights. Contact us at tim@rycroft.co. You can also complain to the Information Commissioner's Office.
